Paper vs digital waivers at the counter

WaiverBee team,

Paper works. It has worked for a long time. The question is what it costs you on a busy day, and later when you need to find one form.

Where paper is good

  • No phone, no signal, no problem.
  • No setup, and no staff training.
  • People know what to do with a clipboard.

If you sign ten people a week and rarely look at the forms again, paper may be enough.

Where paper hurts

  • Finding a form. A claim can arrive long after the visit. Someone has to search boxes by date and hope the handwriting is clear.
  • Missing details. Paper lets people skip a line. You may only notice later.
  • The line. Each person needs a pen, a clipboard and a place to stand.
  • Storage and privacy. Signed forms hold names, health details and birth dates. They need a safe place for as long as you keep them.

Where digital is good

  • People sign ahead. The counter then only checks.
  • Required means required. A blank required field stops the form.
  • Search. You type a name and find the record.
  • Evidence. A digital record can include the time, the device and a hash of the document. Paper cannot show those.

Where digital hurts

  • A customer without a phone needs another way to sign. Keep a tablet at the counter.
  • Weak signal can stop a signing page. Test yours at the real spot, not in the office.
  • Setup takes an hour or so. You also need to test it on a phone.

A note on law: in many places an electronic signature can have the same effect as a paper one. That does not make any given waiver enforceable. The content of the document matters, on paper or on screen. Ask a lawyer.

How to switch without a bad weekend

  1. Choose a quiet week.
  2. Put your current waiver into the digital tool. Keep the wording. Have your lawyer look at any changes.
  3. Print a QR code. Stand it on the counter.
  4. Keep a small stack of paper forms as a backup.
  5. Sign it yourself, on a phone, at the counter.
  6. Add a link to booking emails, so more people arrive signed.
  7. Scan old forms you must keep, and add them to your records.

In WaiverBee, paper import puts scanned forms in the same list as digital ones, so staff search one place. A QR code handles the walk-ins.
